Responsible for providing comprehensive office managerial support to the KANA Dental Team and creating effective systems for the provision of excellent patient care.

  • Ensure patients are given education on company policies to ensure they understand their rights and responsibilities.
  • Oversee patient relations and handle patient complaints. Provides the first point of contact for patient concerns and manage issues that do not fall within clinical guidelines.
  • Support patient coordination and appointment scheduling: Assist the Case Managers with patient communication and help assess barriers for incomplete appointments. Ensure Provider and hygiene appointments maintain full schedules by filling cancellations, no-show appointments, and addressing the waitlist. Review the schedule for potential scheduling issues.
  • Monitor patient relations with regular patient satisfaction surveys.
  • Manage Provider calendars to ensure Providers can attend required meetings, trainings, and other necessary appointments. Assist with Provider schedule templating and team member scheduling.
  • Coordinate office staffing levels to ensure the office is adequately staffed. Assign, direct, and manage staff duties, as assigned by the Dental Director.
  • Provide support with Dental recruitments, including interviewing and onboarding new employees. Orient and provide appropriate training for new Dental staff.
  • Perform daily and weekly check-ins with the Dental team to keep projects accountable and on track with documented deadlines.
  • Ensure staff receives appropriate training, and comply with policies, procedures, and regulations. Assists with arranging Continuing Education for Dental staff as needed. Coordinate team meetings.
  • Resolve staff issues and engages in conflict resolution; works collaboratively with the Dental Director when necessary.
  • Coordinate the day-to-day execution of office practices that increase productivity and efficiency.
  • Respond to clinical and operational issues in a timely manner.
  • Maintain the organization of the office (protocols, calendars, e-mails, agendas, etc.)  
  • Conduct internal audits of patient charts, in/out-bound calls/texts/emails, A/R, team trackers, etc.
  • Support administrative and reporting needs such as responding to incident reports and supplying board report documentation.
  • Maintain a professional reception and business office area. Ensure that all dental staff maintain dental equipment, instruments, and confirm exam rooms are sterilized and ready for use.
  • Ensure adequate supplies are available for use clinical and business office needs.

 

Supervisory Responsibilities This job has administrative and non-clinical supervisory responsibilities over the Dental Clinic staff. This position reports to and defers clinical oversight to the Dental Director.


Requirements

High school diploma or general education degree (GED) required, Associates Degree with an emphasis on medical or business management preferred. Two or more years of experience working with the public in a Dental office setting; or equivalent combination of education and experience. Knowledge of HIPAA, and other state and federal regulations governing healthcare practices, and experience with Medicaid, Medicare, and commercial insurances.
