The Health Services Operations Manager will oversee and manage the administrative and logistical support of KANA health services delivery.  Working collaboratively across the Health division and the organization, the Health Services Operations Manager will support administrative coordination and logistical support to ensure smooth and efficient operations while maintaining high quality standards and exceptional customer service.

 

Essential Duties and Responsibilities include the following.

  • Establish effective interpersonal relationships with staff, management, customers, and visitors. Demonstrate exceptional, proactive communication style.
  • Manage student/locum/provider on-boarding schedules and coordinate logistics to ensure smooth on-boarding and integration into Health division.
  • Collaborate with peers to address contingency plans for clinic coverage and flow on a daily basis.
  • Oversee the travel coordination for Health division staff for all work-related travel including village travel management for village clinic staff.
  • Oversee and perform the planning, coordination, communication and follow up of site visits to KANA from partners, funders, accreditation teams, surveyors and others focused on health division needs.
  • Ensure successful planning and coordination of Health Division events such as staff trainings and activities, site review visits, and other community and board related events, ensuring appropriate venues, presenters, communications are arranged and within budget.
  • Coordinate with Finance department to ensure timely and accurate payment to vendors, including itinerant and contract employees.
  • Participate in identifying system related problems and work collaboratively with team to resolve.
  • Develop relationships with key staff at partner organizations to enable gathering of ad hoc information on request.
  • Manage the Health Division Policy and Procedures to ensure compliance, consistency, relevancy and completeness of policies and procedures on an on-going basis.
  • Support Division and organization compliance with regulatory requirements and accreditation standards. 
  • Manage agreements and contracts with outside partners and vendors including obtaining signatures, payment facilitation, tracking of relevant dates- including renewal.

Supervisory Responsibilities: Provide direct supervision to Health Services Office Assistants. Perform supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.


Requirements

Three (3) years’ experience managing healthcare administrative functions and support staff. Focus on exceptional customer service and attention to detail. Demonstrated proficiency in analyzing situations and developing and implementing appropriate solutions. Bachelor’s degree in Business Administration, Health Care Administration, or related field preferred.
